7 Reasons Why Using Team Collaboration Tools Improve Work Efficiency

03/23/2020 By Power Inception

Looking for business success? Then efficiency is the name of the game.

After all, efficiency is about doing things right! It means your operations are lean and streamlined; errors are avoided and the damaging effects of such mistakes are mitigated.

Manage that and you’ll avoid the fate of the 50 percent of new businesses that fail after five years! You’ll drive more revenue, boost profits, and, ultimately, succeed in your industry.

But how exactly can you enhance efficiency?

It just so happens that efficiency is one of the many benefits of collaboration. Find ways to increase levels of collaboration in your company, then, and you’ll find yourself more efficient in the process. And that’s where team collaboration tools come into their own.

Want to learn more? Read on to discover why team collaboration tools boost workplace efficiency.

1. Fewer Face To Face Meetings

Meetings are one of the biggest drains on business time imaginable.

As you’re aware, it can seem like an entire day is taken up with one meeting or another!

Of course, there’s a reason for that.

Meetings allow team members to stay up to speed on events. Problems, strategies, and updates can all be discussed. Plans can be put in place and problems can be averted.

More often than not, though, the meetings drag on. In worst-case scenarios, they’re entirely unproductive and generate no return on the time you’ve invested. People walk away disgruntled and with little to show for the time taken out of their day.

Collaborative tools are an effective way to limit the need for unessential meetings.

Issues can be discussed, addressed, and planned for in real-time. People meet less, which frees up time to put back into primary roles and responsibilities.

2. Improved Communication

Effective communication in your business facilitates efficiency.

Instructions are issued and understood with ease. Team members know their responsibilities and tasks they must complete. Problems are shared and solved with everybody in the know.

That’s a big deal for large companies in particular. They might operate in numerous geographical locations and employ hundreds (or even thousands) of people. Imagine trying to coordinate that in the absence of effective systems of communication?!

It would be nigh on impossible; issues and errors of efficiency would ensue.

Collaborative tools facilitate communication. Everybody is linked together and able to interact instantaneously. This removes the logistical issues of traditional methods of communication, such as phone calls and emails.

3. Reduced Rates Of Emails

In a similar way, you can expect to send fewer emails too!

Think of a popular collab tool, such as Slack.

Slack helps employees interact, swap updates and share resources via its app. Threads can be set up on particular issues; staff can ask pressing questions and expect instant answers.

It’s a prime example of how these tools boost communications in a company.

A happy secondary outcome, though, is the slump in email rates you can expect as well. All that insight and engagement via the tool reduces the need to send emails instead.

That’s only ever a good thing! After all, working through a never-ending email inbox can seem like a full-time job in itself. Reading and responding to them all takes time, effort, and energy that could be better spent elsewhere.

4. Increased Transparency

Collaboration inevitably boosts transparency in your business, which is vital.

Progress is stymied when members of a team are unaware of certain developments.

It’s harder to track how a project is advancing to know what needs to be done on your end. If you lack sufficient transparency and you can expect higher rates of road-blocks and mistakes to arise.

Transparency facilitates conversation and provides a window into operations. Members of the team can check-in at any point and keep themselves on track.

An added bonus is that clients can be brought more easily up to speed as well. Data and progress are there for all to see. That’s good news, for example, if a stakeholder wants an insight into current affairs, or a customer wants to see how things are going.

5. Increased Recognition

That transparency we just mentioned can translate into recognition too.

Managers can see the employees who’ve made a significant contribution to a project. Maybe they had a crucial idea or supported their team in note-worthy ways.

Collaborative tools can then be used to deliver rewards points (or something of that nature) to top performers. Allow those points to be redeemed somehow and you have a top rewards strategy at your disposal. Employees could convert points into prizes, charitable donations, or salary increases.

That’s a big deal! Businesses incentivize productivity and conscientious work ethics as a result.

6. Less Chance Of Trouble

There’s nothing like a disaster to impact levels of efficiency.

After all, problems of any size demand attention and resources to resolve. The larger the issue, the swifter and more significant the response must be.

Primary roles and responsibilities are forgotten in these moments; workloads are abandoned in favor of metaphorical fire-fighting. To put in bluntly, disasters distract and detract from primary efforts that would otherwise drive the growth and prosperity of a company.

With transparency and communication both improved, collaborative tools naturally make that easier. Businesses can identify problems before they develop and work to address them as a team.

7. Reduced Downtime

These tools reduce downtime for the same reason.

Downtime is the bane of any business’s life. Cease operations for any length of time and you can expect a financial fall out to follow.

Thankfully, collaborative tools help prevent that eventuality. Unnecessary delays in operations are largely averted for all the aforementioned factors.

Read more about how particular products can reduce downtime as your place of business does maintenance and cleaning.

Enjoy The Benefits Of Collaboration

Businesses should always strive to increase levels of efficiency.

As we’ve seen, collaborative tools help do exactly that! Incorporate them into your operations and you’ll soon enjoy the many efficiency-related benefits of collaboration available.
